- The Change and/or Cancellation Policies are part of these Terms and Conditions.
- You must inform Incredible Peru Tours – IPT of any allergies or medical conditions you may have. It is necessary to be in good physical health. If your health is questionable, you should consult a doctor regarding your travel to high-altitude areas, especially if you plan to do a trekking route. If you are over 65 years old, you must present an updated medical certificate.
- During the trip, if you wish to leave the group or the campsite for independent walks or excursions, you must inform the guide; doing so is entirely at your own risk. If you notice any issues with the guide’s service or any other excursion service, please notify the guide immediately so the problem can be resolved as soon as possible.
- The entrance ticket to Huayna Picchu Mountain is not included in any excursion. If you wish to visit it, request your reservation and pay for it as soon as possible, as availability is limited (only 400 people per day). To do this, send your request to: info@incredibleperutours.com. Once we confirm the reservation, you must immediately pay US $75.00 per adult or US$ 40.00 per student, and then send us a copy of your payment. This way, on the day of your visit to Machu Picchu and after your guided tour of the site, you will be able to hike Huayna Picchu Mountain at approximately 10:30 am. This service is only offered to our clients and applies as an extension to an excursion booked with us.
- You must comply with the Payment System and Dates, especially with your final payment, which must be made up to 1 day before the tour departure date, using any of the indicated payment methods. If you wish to make this final payment with a Credit or Debit Card – VISA, you must cover the 5% transaction fee.
- If you wish to obtain the student rate, you must send us an email at the time of your booking attaching a scanned copy of your valid ISIC card. This is the only valid card to obtain the student entrance ticket. The Peruvian Ministry of Culture regulates and controls the use of this card at archaeological monuments and does not accept any other type of card, such as the youth travel card or the international teacher identity card.
- If you do not show up at the date, place, and start time of your excursion (No Show), we will not be held responsible for your absence, whether due to illness, flight delay or cancellation, or any other reason beyond our control. Excursion costs are non-refundable, as services such as entrance tickets to Archaeological Monuments, the Inca Trail, porters, cooks, bus tickets, train tickets, and food, among other services, are booked and paid for at the moment you make the reservation.
- You must bring your original physical passport and your physical ISIC card (if you are a student) to all excursions booked with us. If you do not bring the original passport used for the booking, the checkpoint will cancel your permit and deny you entry to the site. If for any reason the passport number used for your booking does not match the passport number presented at the checkpoint, you will lose your trip. If you went through a passport renewal process over time, you must send us an email as soon as possible with the subject: “Passport Change,” attaching a copy of your current passport so we can process the necessary paperwork. Do not forget to bring both passports (the old and the new one) to validate the passport number change. Remember that the sites visited are regulated by the Ministry of Culture, not by our company.
- Specifically for excursions including the Inca Trail, Date Changes are not allowed, as this is not possible once a dated permit has been processed. These permits are non-transferable and non-refundable. The entire deposit will be lost. Please note that this is because the Ministry of Culture prohibits us from reselling your reserved space.
- For excursions reaching Machu Picchu that include a return train to Cusco, you should know that the return schedule depends on the seat availability offered by the train company. We prefer return trains between 3:30 PM and 6:30 PM, but they must have enough available seats to accommodate the entire group. Generally, this is not an issue except on special days like weekends or during major holidays such as Inti Raymi, Independence Day, and Easter (Semana Santa). To provide service to all users, the Train Company confirms the return train schedules from Aguas Calientes for Adventure Travel Agencies only a few days before the trip. The return train schedules offered in our itineraries and programs are for reference and may be subject to changes between 1:00 PM and 9:50 PM. Typically, these trains require a private bus connection from the Ollantaytambo Train Station to the City of Cusco; this bus is provided by Incredible Peru Tours – IPT.
- If you get sick or injured during the trip and cannot continue, there will be no refund of the payment made. In this case, a person will be provided to accompany you back to the nearest location where you can receive emergency medical assistance. If the situation requires an air rescue via helicopter, the costs of all medical assistance and other expenses generated by the evacuation must be fully paid and covered by the traveler. If you have recovered and the dates align with your group’s schedule, we will help you reunite with your group in Machu Picchu to resume your tour from that point. Regardless, we will provide you with a document certifying the loss of the trip, which you can present to your Insurance Company.
- Our travel company is not responsible for additional costs due to unfavorable weather conditions, natural disasters, strikes, accidents, illness, injury, loss of personal items, etc. It is the client’s responsibility to have insurance that covers these types of events. We reserve the right to modify or cancel the program due to any of the aforementioned conditions.
- For excursions that include visits to sites declared by the Peruvian Government as risk or emergency areas and which are unexpectedly closed for safety reasons, our travel company will replace your trip with an alternative excursion for the same dates, corresponding to the duration of the contracted excursion.
- We do not include travel insurance, so we recommend purchasing travel insurance in your home country that includes coverage under certain circumstances, covering the loss of deposit payments or cancellation fees. Remember that there are no refunds for unused services in the event of cancellations.
- Incredible Peru Tours will do everything possible to provide you with a safe and pleasant trip, but will not accept any liability for damages, accidents, injuries, loss of luggage, expenses, or other issues due to delays or any other cause whatsoever. This also applies to any person or property in connection with any service provided by our intermediaries, resulting directly or indirectly from acts of force majeure. Should this occur, our Travel Agency will provide you with a certificate explaining the cause of the trip cancellation so you can process your claim with your Insurance Company.
- During the visit to the Historic Sanctuary of Machu Picchu – Machu Picchu National Archaeological Park, visitors play a fundamental role in the conservation and protection of the area, as well as in exercising their individual responsibility for the preservation of this heritage for the benefit of present and future generations; therefore, they must strictly comply with the Visiting Regulations.
- By purchasing one or more excursions through this channel, you commit to and accept these Terms and Conditions.
CHANGE AND CANCELLATION POLICIES
Based on our experience in Tourism, we know that some of our travelers, for various reasons, are unable to travel. Therefore, in our effort to help you and provide good service, we have Change and Trip Cancellation Policies that offer the best solution and support for you.
All Trip Changes and/or Cancellations will be applied according to the following:
CHANGES AND CANCELLATIONS MADE BY THE CLIENT:
- Changes and cancellations made by clients must be submitted in writing as soon as possible via email addressed to our Travel and Tourism Agency.
- If you feel it is necessary to cancel your confirmed trip. Wait!… we inform you that it is possible to transfer your reserved space to another person up to 3 days before the excursion. (This transfer does not apply to routes including the Inca Trail).
- The day of your trip arrives and for some reason you cannot go on your confirmed tour such as the Inca Trail or any other trip reaching Machu Picchu… Do not think all is lost. We will work in coordination with you in the best possible way, helping you change your trek to a train trip to Machu Picchu using your purchased permit and entrance ticket. This way, you won’t miss out on visiting this Wonder!!!
- If the above case applies, the client is responsible for the expenses and payments generated by changing the trek to a train trip. Additional charges to the trip price may include administrative fees, hotel night payments if the tour requires it, bus tickets, and train tickets.
- For trip cancellations on routes including the Inca Trail where you have already made the respective pre-payment: The deposit made as a pre-payment is non-refundable, as this amount is used to make payments for all the necessary reservations for the service.
- For trip cancellations made by the client that are 100% Paid, they will be subject to penalties and refunds that will depend on the Date of Cancellation made prior to the Tour Start Date, as specified in the table below:

All corresponding refunds will be made by our company directly to your credit and/or debit card or your bank account, deducting the respective percentage according to the Date of Cancellation.
CHANGES AND CANCELLATIONS MADE BY THE COMPANY:
- We will make every necessary effort to operate the package you have purchased. However, we reserve the right to reduce or modify the itinerary, change or substitute activities, hotels, meals, or transportation whenever we deem it necessary.
- In the aforementioned case, none of the modifications and/or changes made by our Company will affect the price of the package. Rest assured that you will not have to pay any additional money.
- Our company is not responsible for expenses or financial losses due to canceling or suspending the trip at any time for reasons that, in our opinion, may compromise the quality of the trip or the safety of our travelers due to circumstances beyond our control. This includes insecurity situations such as strikes, work stoppages, or riots, as well as natural causes like mudslides (huaycos), landslides, and others.
